SOURCING & PROCUREMENT SUPPORT

What we can coordinate for you

Engage us for a defined sourcing project or discuss a repeat purchasing requirement. The work included and our brokerage fee are agreed before the service begins.

01

Supplier research

Identify potential suppliers in Asia against your product brief. Request company and product information, minimum order quantities, sample availability and indicative production schedules.

02

Specification & quotation enquiries

Put model references, dimensions, materials, quantities and packaging requirements into a clear request. Coordinate quotations so you can compare the same requirement across supplier options.

03

Samples & product information

Coordinate sample requests and the supplier documents relevant to your intended use. Review the samples and technical information before approving a product or placing an order.

04

Order communication

Help record the agreed product specification, pack quantities, labelling and supplier terms. Follow up on open questions and order updates within the agreed sourcing mandate.

05

Direct delivery coordination

Request dispatch information and available shipping documents for delivery from the supplier to your business. Freight, customs, duties and importer responsibilities are agreed for each order.

06

Repeat sourcing & supplier follow-up

Use approved specifications and sample references as the starting point for a repeat enquiry. Reconfirm quantities, availability, lead times and any proposed product changes with the supplier.

Sample charges, testing, inspection and freight are confirmed separately where required. Requests for custom packaging or labelling can be included in a brief, subject to supplier capability and minimum quantities.

02 / SOURCING CATEGORIES

Product sourcing directory

Explore the categories we can help source. Add products to your brief, then tell us the quantities, specifications and destination that matter to you.

Planning a buying list? Use our 12-category checklist to record specifications, quantities and sample needs.

12 enquiry categories, not a stocked SKU list. Photographs illustrate products, installation contexts and studio processes; they are not supplier SKU photographs. These are sourcing categories, with specifications and availability confirmed for each enquiry. Products are purchased from the selected supplier and shipped directly to the customer. Refer to each image caption for context; product finish and compatibility require separate confirmation.

DETAILS THAT CHANGE THE ORDER

Specify before you order.

A product name is only the beginning. We coordinate a specification brief that gives you a clearer basis for comparing suppliers and approving an order.

↗

CCTV & SECURITY

Fit. Function. Installation.

Exact equipment model and hole pattern. Mounting surface and load. Cable clearance and gland entries. Power requirements and intended installation environment.

For example: source a pole mount and junction box around a specified camera model, with drawings and supplier-confirmed compatibility.

◌

POTTERY & STUDIO

Body. Colour. Fired result.

Clay body and firing range. Application method. Fired colour and glaze fit. Carton protection, studio pack sizes and repeat-order consistency.

For example: compare ceramic blanks and clear glaze using a sample fired with your own clay body, kiln and firing schedule.

BUYING REQUIREMENTS

From a one-off order to repeat supply

The following are examples of enquiries we can review. They illustrate the service scope, rather than completed customer projects.

A defined project list

A CCTV installation business has a list of cameras, compatible mounting hardware, cable and power components. The brief sets out model references, quantities and the required delivery date.

Discuss a project requirement →

A studio opening or range refresh

A pottery business needs a selection of ceramic blanks, decorating colours and tools. The brief covers shapes, sizes, firing requirements, trial quantities and packaging for transport.

Discuss a studio buying list →

A repeat purchasing programme

A business wants to reorder approved items or compare options for a regular buying list. The brief records the existing specification, estimated volumes and acceptable changes for review.

Discuss repeat sourcing →

Asia sourcing for UK trade buyers

We source products from Asia for UK-based companies in two main categories: CCTV equipment and pottery products and studio materials. Our role is to help turn a buying requirement into a supplier enquiry, coordinate product information and quotations, and support the agreed purchasing communications. Goods are shipped directly from the selected supplier to the customer on a drop-shipping basis. YIPA charges a brokerage fee for its sourcing and coordination service.

Under this model, YIPA does not hold inventory or operate a warehouse. Sourcing, coordination and administration are managed remotely, without a separate operating address.

OVERSEAS SUPPLIERUK CUSTOMER

The customer approves the product, supplier and order terms. YIPA’s service scope and fee are documented separately from the supplier’s product quotation.

SOURCING FOR THE WAY YOU WORK

Materials for everyday studio use

A pottery studio needs more than ceramic shapes. The everyday mix includes decorating colours, brushes, sponges, tools, palettes and protective packaging. A security project has its own supporting cast: adaptors, fixings, connectors and cable management.

We help build a complete brief around your workflow, so the small details receive the same attention as the main purchase.

05 / QUESTIONS, ANSWERED

Trade enquiries

Every sourcing requirement is different.
Start with the essentials.

What does YIPA do?+

YIPA provides sourcing and brokerage services for UK businesses. We help clients identify overseas suppliers, clarify requirements, compare quotations and coordinate the agreed procurement process. We charge a brokerage fee for that service.

Do you sell products from your own warehouse?+

Goods are supplied directly by the selected supplier to the customer. YIPA does not hold inventory or operate a warehouse. Product availability, specifications and delivery arrangements are confirmed for each order.

How is the brokerage fee agreed?+

The scope of work and brokerage fee are agreed in writing before the relevant services begin. The arrangement can reflect an individual sourcing project or an agreed ongoing programme.

Can you help with samples and product documents?+

Where included in the agreed scope, we coordinate requests for samples, specifications and supplier documents. Product selection and order approval remain with you. Testing or independent inspection can be coordinated separately where agreed.

Who handles shipping and import arrangements?+

The supplier and customer agree the delivery terms, with purchasing, freight, customs and importer responsibilities recorded for the order. We coordinate the agreed communications and documents. Goods do not pass through YIPA.

Can you help with products outside these categories?+

Tell us what you need and how it will be used. Our focus is CCTV and security accessories, pottery and studio materials; related requirements can be reviewed as part of your proposed sourcing brief.

Is there a minimum order quantity?+

Minimum quantities depend on the product and supplier. Include your expected quantity and any trial-order requirement in the brief. We can request available pack sizes, sample quantities and price breaks for you to review.

Can you source to an existing model or sample?+

Yes, a model number, drawing, photograph or approved sample can form the basis of an enquiry. Please identify which features must match and which alternatives you would consider. An alternative is only suitable once its specification and compatibility have been reviewed and approved.

What is included in a quotation?+

The supplier quotation should identify the products, quantities, currency, validity, payment terms and stated delivery basis. Our brokerage service and fee are agreed separately. Samples, freight, testing and other third-party costs are identified where applicable, so the purchasing basis is clear before you commit.

Can you arrange branded packaging or mixed product lists?+

We can include packaging, labelling, carton quantities and mixed product requirements in the supplier enquiry. Availability depends on supplier capability and minimum quantities. Any artwork, samples, packing plan and additional charges should be approved before production.

How are product suitability and quality reviewed?+

Start with a written specification and request the relevant supplier documents. Where needed, agree sample review, testing or independent inspection before ordering. For CCTV, confirm equipment fit and compatibility. For pottery, review the ceramic body, decoration and firing process. Any claim about conformity or intended use needs supporting evidence for the particular product.

What happens if an order arrives with a problem?+

Record the issue promptly with the supplier’s product reference, quantities, delivery details and photographs where appropriate. Within the agreed service scope, we can coordinate communications and supporting information. Returns, replacements, warranty terms and claims are governed by the terms agreed with the supplying party.
